Professional Photographer Information

We love seeing families, couples, and children capture special memories at Kavan Family Christmas Tree Farm, and we welcome professional photographers to use our farm as a backdrop for photo sessions.

To keep the experience enjoyable for photographers, clients, and our general visitors, we ask that all professional photographers review and follow the guidelines below.

What We Mean by “Professional Photography”

Professional photography includes any scheduled or compensated photo sessions, such as:

  • Mini-sessions

  • Family or child portrait sessions

  • Holiday card photo shoots

  • Engagement or maternity sessions

  • Commercial or promotional photography

Casual, personal photos taken by families during their visit do not require a permit.

Photography Season & Availability

  • Photography sessions are welcome all year by appointment, with the exception of November 27-29th, when we experience our busiest weekend.

  • We strongly encourage weekday sessions or early-morning / late-day time slots.

  • Weekend sessions during peak hours are limited and subject to approval due to guest traffic.

Photography Fee

To help support farm operations, land stewardship, and our annual 6.5% donation to local schools, we require a photography access fee:

  • Advance bookings: $50 per session (up to 60 minutes), or $150 for unlimited sessions on the same day when booked at least 24 hours in advance.

  • Same-day bookings: $150 per session (up to 60 minutes), or $450 for unlimited sessions that day.

    Advance booking is strongly encouraged to ensure availability.

What’s Included

Approved photographers receive:

  • Non-exclusive access to the farm including 30 minutes of advance set up

  • Natural Christmas tree backdrops, rows, and open field settings

  • Rustic elements such as barns, fencing, and vintage tractor

We are happy to suggest lower-traffic areas that photograph beautifully.

Guidelines & Expectations

To ensure a great experience for everyone:

  • Please be respectful of trees, crops, and other guests

  • Do not move signage, fences, or equipment

  • No tree cutting, climbing, or damaging branches for staging

  • Keep sessions contained to approved areas

  • Children must be supervised at all times

  • No confetti, glitter, fake snow, smoke bombs, or props that leave debris

We reserve the right to stop a session if guidelines are not followed.

Liability & Insurance

  • Photographers are responsible for their own equipment and clients

  • We require photographers carry general liability insurance

  • By booking, photographers agree to hold Kavan Family Christmas Tree Farm harmless from any claims or damages arising from the session

Credit & Tagging (Optional but Appreciated)

If you share images taken at the farm on social media, we appreciate being tagged:

@KavanFamilyChristmasTreeFarm

This helps support our small family farm and local school donations.

How to Request a Photography Session

Please email us with the following details, ideally at least one week in advance:

  • Photographer name & business (if applicable)

  • Preferred date and time

  • Number of client groups

  • Type of session (family, mini-sessions, engagement, etc.)
